PRIVACY INFORMATION PURSUANT TO ART. 13 OF EU REGULATION 2016/679

SISTEMA CONGRESSI SRL and the organizer of the event are committed to protecting the personal data of each person while respecting the identity, dignity of every human being and fundamental freedoms in compliance with European Regulation 2016/679 relating to the protection of natural persons, with attention to the processing of personal data as well as the free circulation of such data.

Data Controller

The Data Controller is SISTEMA CONGRESSI SRL based in Padua, in Via Trieste 26, in a co-ownership relationship with the event organizer.

Registration activity for the aggregation event

The Personal Data processed in the registration form (personal data, various reference contacts, data on professional classification) are mandatory in order to allow registration for the event itself.

The legal bases for the processing of Personal Data can be identified in the fact that registration takes place following the free and unconditional consent of the interested party who intends to attend the event.

Sending communications activities on future organized events

The processed Personal Data relate to various reference contacts in order to allow the interested party to receive information about future events organized by SISTEMA CONGRESSI SRL or by the organizer of the event.

The legal bases for the processing of Personal Data can be identified in the fact that the sending of communications regarding future organized events occurs following the free and unconditional consent of the interested party who intends to receive the information from SISTEMA CONGRESSI SRL and the event organizer.

 Communication of personal data

Precisely, the data will be shared with the following subjects:

  • Public authorities, welfare and social security bodies in favour of the category in compliance with legal obligations;
  • subjects who carry out part of the activities linked to a specific contract (for example: tax advisor, legal counsel, IT consultants and other companies or professionals who operate by providing goods or services);
  • employees and/or collaborators of SISTEMA CONGRESSI SRL or the organizer who have received, in this respect, adequate instructions regarding the security and correct use of the personal data.
International transfers of personal data and automated decisions

Personal Data will be processed within the territory of the European Union. In the event that it is necessary to make use of subjects, organizations or public authorities located outside the European Union, the transfer of Personal Data, limited to the performance of specific Processing activities, will be regulated in accordance with the provisions of chapter V of the Regulation and only if the transfer is necessary for important reasons of public interest and in the cases provided for by letters, d, e), f) g) of the art. 49 of the EU Regulation.

SISTEMA CONGRESSI SRL and the event organizer declare that they do not adopt decisions likely to influence the interested party based exclusively on the automated processing of personal data. All decision-making processes associated with the processing purposes described above are carried out with human intervention.

Retention method and period

The Personal Data will be processed by SISTEMA CONGRESSI SRL and by the event organizer limited to what is necessary to pursue the purpose of the hereby Policy in compliance with the rules on the conservation of administrative documentation (10 years), notwithstanding a further retention period which may be required by law: the data in electronic and paper format will be stored in the archives located at SISTEMA CONGRESSI SRL and the event organizer.

The rights of the interested party and their exercise

As provided for in article 15 of the Regulation, the interested party may access the Personal Data, request their rectification and updating, if incomplete or incorrect, request their cancellation if the collection took place in violation of a law or regulation, as well as oppose the Processing for legitimate and specific reasons.

In particular, the rights that the interested party may exercise, at any time, towards the Data Controller are the following:

  • right to be informed: users have the right to know how their data are collected, processed, stored and for what purpose, even before collection;
  • right of access to data: after the data are collected, the user has the right to access them and know how they are processed and stored and for what purpose;
  • right of rectification: the user has the right to correct the data if incorrect or incomplete;
  • right to oblivion and deletion: users have the right to be able to delete their personal data forever (except for other legal obligations, especially in the case of reporting to institutions or guarantor authorities);
  • right of limitation: users can limit the use of their data in use or block their use;
  • right of portability: the user has the right to move, copy or transfer personal data;
  • right to object: users have the right to prohibit their data from being reprocessed without explicit consent;
  • right to prohibit automation: users have the right not to let decisions about them be left to algorithms or automation.
